Document Retention Policy
Why we keep documents, how long we keep them for, and how they are securely removed.
Version v1.0 · Effective 4 August 2026
Why retention is necessary
Documents supplied during an enquiry or application form part of the record of the advice given and the transaction arranged. Retaining them allows us to evidence what was recommended and why, respond to questions or complaints, support you on subsequent matters, and meet legal, regulatory and anti-money-laundering obligations.
What we retain
- Application records and the correspondence relating to them
- Identification and verification documents
- Financial documents supplied in support of an application
- Advice notes, submissions and lender correspondence
- Consent records showing which policies were accepted and when
How long documents are kept
Retention periods vary according to the type of record and the obligations attached to it. As a general principle, we hold information for the duration of the client relationship and for a further period afterwards where a legal, regulatory or evidential reason requires it. Where no such reason applies, information is removed once the purpose for which it was collected has been fulfilled.
Periods are reviewed regularly, and specific retention requirements applying to your matter can be confirmed on request.
Secure removal
When a retention period ends, records are deleted from our systems and associated files are removed from secure storage. Deletion is carried out by authorised personnel, and any physical material is destroyed by confidential means.
Requesting deletion
You may ask us to delete information we hold about you by writing to info@rslwealthmanagement.co.uk. Where a legal or regulatory obligation requires us to retain a record, we will explain why, and restrict its use to that purpose alone.
Questions
If anything here is unclear, or you would like to exercise a right described in these policies, write to us and a member of the team will respond personally.
